It is beneficial to add an expiry date (and time) to a download link, especially for documents that are only relevant or applicable for a certain period of time, such as contracts, legal documents, etc. At the set time on the expiry date, the download link will be deleted automatically and, as a result, the recipient(s) will no longer have access to the uploaded material.


There are two (2) ways to set an expiry date:

  • during the process of uploading the file(s) or folder, and
  • after the upload and email transfer are complete.


Set an expiry date during upload

  1. Sign in to https://portal.sendlinx.com and click on Send, in the upper left-hand corner of the screen.

  2. Enter the email address for each recipient.

  3. Click on the Expiry Date (optional) field.

  4. Click on the calendar icon and choose an expiry date in the calendar pop-up screen.

  5. Click on the clock icon and choose an expiry time (hour and minute, AM or PM) on the expiry date you selected.

  6. Click on OK to continue.

  7. Add a Link Password, if desired, and compose a message to the recipient(s).

  8. Click Add Files or Select A Folder to select and upload the file(s) or folder that you want to transfer.

  9. Review all of the details you entered in each field and ensure that you have chosen the expiry date and time correctly. If desired, click on the expiry details to change them (repeat steps 4-6). Otherwise, click on Send to continue.

  10. A confirmation screen will appear when Sendlinx has sent the email containing the download link and the expiry date to the recipient(s).

  11. When a recipient follows the download link in a web browser, an expiry countdown message will indicate the number of days remaining until the link will be deleted automatically and the uploaded material will no longer be available.

 

Set or change an expiry date after upload 

  1. After an upload and email transfer have been completed, and the download link has been sent, click on Link Manager in the menu on the left side of the screen. Link Manager contains a summary of the transfer details and download links for each uploaded file or folder.

  2. If you want to add an expiry date to particular upload, click on the corresponding pencil icon in the Expiry Date column. 

  3. Click on the calendar icon in the Expiry Date field.

  4. Click on the calendar icon and choose an expiry date in the calendar pop-up screen.
  5. Click on the clock icon and choose an expiry time (hour and minute, AM or PM) on the expiry date you selected.

  6. Click on OK to continue.

  7. Check to ensure that the date and time appearing next to the calendar icon in the pop-up are correct. If not, click on the calencar icon and re-do your selection. Otherwise, click on CHANGE to continue and wait until the expiry date has been applied.



  8. The expiry date and time will now appear on the line associated with the relevant upload.

  9. If you want to change the expiry date or time for a particular upload, click on the corresponding pencil icon next to the current date and time in the Expiry Date column, then click on the calendar icon in the expiry date field in the pop-up screen. Select a new date and/or time and click on CHANGE to adopt the new expiry date and/or time.
